MetaCheck: live tracking of EU funding targets
The problem
When a company receives EU public funding, its contract sets targets it must reach, such as sales, value added and qualified jobs. If a target is missed, part of the grant is cut or must be paid back.
Today these targets are usually checked once a year, by hand, in Excel, after the annual accounts are closed. That takes 25 to 30 hours per project, and by then it is often too late to fix anything. At BF Consultores, a Portuguese funding consultancy, we follow more than 100 projects with targets like these.
Our solution
MetaCheck is a new tool for our client portal that follows each company’s targets continuously, not once a year.
How it works
- Upload. The company uploads its financial and HR documents, such as accounts and the list of qualified staff.
- Privacy first. Names, tax numbers and other confidential data are masked before any AI reads the documents.
- AI reading. The AI identifies each document and its year and extracts the relevant figures.
- Exact calculations. A rule engine, written in code and not left to the AI, measures progress against each target using the official funding rules. The numbers are always consistent and traceable.
- Live dashboard. Each target shows as on track or at risk, with the reason, the possible funding cut in euros and suggestions to fix it.
- Scenario simulator. Change the inputs (new hires, hiring date, extra sales) and see the impact on each target instantly.
- Voice and text chat. Ask a real question, for example “Is it worth hiring two people in November?”, and get an answer with the company’s own numbers: the cost of the hire against the funding saved.
What we built
A working prototype, built from scratch during the hackathon and tested with a fictional company, so no real client data was used.
Impact
- From once a year to every time a new document arrives.
- Hours of manual work per project replaced by an automatic pipeline.
- Companies can act while there is still time, instead of losing funding.
